Bylaws & Membership

Article I: Name

The official name of this club shall be Tri-Star Herf Cigar Club – also known as Tri-Star Herf Crew or TSHC.

Article II: Our Purpose

We are a social cigar club whose purpose is to bring together like minded people and expand the love, knowledge, and appreciation of tobacco and alcohol by meeting weekly, monthly, and quarterly via Zoom, Instagram, and live events. Our goal is also to expand our knowledge through bringing together current club members with brand owners, lounge owners, manufacturers, and distillers. 

Article III: Our Location

We are a Tennessee based club whose membership has expanded throughout the United States and abroad.

Article IV: Our Policy

No member of the Tri-Star Herf Crew shall discriminate against anyone because of race, color, creed, national origin, gender, sexual orientation, religious beliefs, income status, marital status, educational background, or any other factor.


Members of Tri-Star Herf Crew are expected to help create awareness of the Tri-Star family and what we stand for through social media, attending live herfs, participation in our Zoom herfs, and communicating with other members when possible, inside and outside our Members Chat.


We are a “Social” Cigar Club. We encourage and expect members to be active socially in one or more of the following way.

  • Be social in the club chat or discord
  • Be social on the weekly Zoom herfs at least once a month
  •  Be social by attending some of our Live Herfs

Article V: Membership

Membership is open to anyone in the world who wishes to be an active member of this family and supports the purpose of the Tri-Star Herf Crew and its social activities.


To apply for membership, the potential member must be following @TriStarHerfCrew on Instagram and fill out a membership form on www.tristarherfcrew.com 


Once accepted, each potential member will be accepted as a PROSPECT into the club and placed into the PROSPECT chat on Instagram. This chat will have other current prospect as well as all club officers. This chat is used so that potential members can get to know the officers as well as a chance for the officers to get to know them and to see if they are a good fit for the club. 


As a PROSPECT you will be asked to join us at least once on a Zoom herf (more is better) as well as post at least 10 cigar related posts on their personal Instagram using #tristarherfcrew in their post. (more is better) 


Once the PROSPECT has reached their requirements, a vote will be called in the officer’s chat for that PROSPECT to become a PATCHED MEMBER. A majority vote in YES or NO is required to pass a vote in either way. 


If/when accepted, each member will receive 1 members patch, a welcome letter, access into our Instagram members chat, access to our Facebook group, and access to our discord. Only active members are eligible to use our patch and have access to our group pages and chats. If a member loses their patch, additional ones may be purchased. 


Membership is lifetime but renewed yearly so that our club remain an active club. Every December, each member will be asked to renew their membership by replying to a membership renewal post/request/message. Members will have until the end of the month to renew their membership. If by the end of the month they have not renewed their membership, they will be removed from a all chats and no longer considered a member. 


Active members will maintain membership status unless they have been found to be violating the club standards. If that happens OFFICERS will deliberate to see what steps need to be taken. Any officer can call for a “Vote of Termination” At that point the club will be asked to vote on the call. The vote will PASS or FAIL once a majority has been reached. The PRESIDENT will then notify the member of what has happened and then terminate membership.


Although we would hate to see this happen. Any MEMBER or PROSPECT may leave Tri-Star for any reason. All that we ask is that you inform an officer and let them know. 

Article VI: Membership Fees

Membership to the Tri-Star Herf Crew is completely FREE. All that we ask is that you chip in to the host of live event and purchase official club merchandise. 


Article VII: State & Chapters

Founding Chapter: The Tri-Star Herf Crew officially started as a Tennessee Based Cigar Club and will remain as the “Founding Chapter” to any future chapters and will act as the Executive Board for the Club.

As the club grows, there will be a call of other chapters to be created to help with the communication of members and the organization of member events in other states and regions. 


Chapter Officers are representatives of their state and/or region. These officers will be the main point of contact for everyone that falls within their state or region. If there is ever an issue that can't be resolved, you may message the Club President or Vice President at any time. 


All officers will be added into an OFFICERS CHAT where they can discuss and vote on how the club runs. These chat groups are how you will get to know and bond with your chapter family members and will help facilitate coordinating group events and meet-ups.

Article VIII: Addition of Chapters

When a state reaches 5 members they can be considered for the status of OFFICIAL CHAPTER. At that point all of the club officers will vote on the addition of a new chapter. All officers will have a vote. A majority vote is needed to PASS or FAIL a vote. 


If passed, the state will be issued its first officers… A “State” Captain, “State” Lieutenant, and a “State” Membership Ambassador. 


The position of State Captain will be recommended by the other club officers and then voted on by the officers. A majority vote is required for the vote to pass. If the vote fails to pass, then the officers will discuss the options until a conclusion is reached. The new captain will then recommend members to fill the other officer roles and then will call for a vote to have them elected. A majority vote is required for the vote to pass. If the vote fails to pass, then the officers will discuss the options until a conclusion is reached.


When a state reaches 10 members, the state will be broken into regions and then each region will be able to have their own officers. Regions will be decided by the Club President, Vice President, and the original State Captain. Regional officers will consist of A “State Regional” Captain, “State Regional” Lieutenant, and a “State” Membership Regional Ambassador. The position of State officers will be recommended by the officers of that state and then voted on by the officers. A majority vote is required for the vote to pass. If the vote fails to pass, then the officers will discuss the options until a conclusion is reached.

Article IX: Officers

Officers are elected roles voted on by the other officers of the club. Officers are asked to actively participate in their role for one year. Membership is renewed yearly so that our club remains an active club. Every December, each officer will be asked to renew their membership by replying to a membership renewal post/request/message. Officers will have until the end of the month to renew their position. If by the end of the month they have not renewed their position, they will be removed from the position and their position will be filled. If an officer does not want to maintain their position, we as a club completely understand and hope that they will continue to be an active member in the club. 


If additional officer position needs to be added in the future, or if any officer positions need to be eliminated, it will be decided between the President and Vice President. 

Article X: Club Chain of Command, Roles and Responsibilities

1. Club President 

  • To keep up with the day-to-day operation of the club
  • To manage new prospect and new members
  • To maintain the social media side of the club
  • To work with Regional / State Captains when organizing live events
  • To conduct the weekly Zoom Herf


2. Vice President

  • To help support the President in their duties and make sure they are done in a timely manner. 
  • To be a direct line of communication between the Club and it officers
  • To be available when the President cannot be.
  • To set up the weekly Herfs when the President can not or find someone who can. 


3. State Captains

  • To act as a direct line of communication between the members of their chapter and region.
  • To work with the President and Vice President to make sure that their state and region is running efficiently.      
  • To keep an updated list of current members in their region including name, address, and birthdays and send to the President to keep on file and celebrate birthdays.
  • To help promote the club to potential members and to help recruit them to the club.
  • To work with the President and Vice President to set up and schedule upcoming live events. 
  • Help promote the weekly Zoom herfs to your members.


4. State Lieutenants

  • To help support the Captain in their duties and make sure they are done in a timely manner. 
  • To relay any concerns of their members to the Captain so that it can get resolved quickly
  • To be available to members and other officers when the Captain is unavailable.


5. State/Regional Membership Captain

  • To help promote the club in their area of responsibility.
  • To be the direct line of communication between all prospects in their region and the regional officers, President, and Vice President
  • To keep up with the number of herfs and post that their Prospects have made, and inform the president what prospect has met the minimum requirement to be patched in. 


6. Out of State Membership Captain (Tennessee Chapter Only)

  • To help promote the club inside and outside the state of Tennessee.
  • To be the direct line of communication between all prospects outside the state of Tennessee and President, and Vice President
  • To keep up with the number of herfs and post that their Prospects have made, and inform the president what prospect has met the minimum requirement to be patched in.
